STEP ONE - Letter of Interest |
The Jim and Carol Trawick Foundation requires non-profit organizations that have received letters inviting them to apply for the Fall 2010 Grant Cycle to send a Letter of Interest (LOI) prior to submitting a full grant proposal in order to save organizations time, effort and the expense of developing a full proposal. We encourage you to submit your LOI's as early as possible to allow ample time for the Foundation to review and provide feedback to you. LOI's will be reviewed within two weeks of receipt to determine if the proposed activities align with the Foundation's grant-making interests and priorities. We will notify ONLY those organizations whose proposed projects merit further consideration to submit a full proposal. If you are invited to submit a full proposal, you will be asked to identify specific measurable outcomes and the criteria and procedures that will be used to measure them.
The Letter of Interest should be no more than two - three typewritten pages and include the following:
- A brief statement of the community need to be addressed, the target population including the number to be served, and the geographic area that will benefit from the proposed activities.
- A brief summary of the history and mission of the organization and the organization's involvement with the issues or area of need.
- A summary of the activities for which the support is being requested, including goals, objectives and anticipated outcomes and implications. If this is NOT a new program, please explain why the continuation of the program is essential.
- The approximate starting date and duration of the proposed activities that will be covered by the grant
- The total project budget, total dollar amount requested from the Trawick grant, and information about other sources of support, both assured and requested.
- Attach a copy of the current IRS Determination Letter indicating 501(c)(3)
status
- Total revenue for the organization as stated on the most current Form 990. (Do not send 990's)

The Foundation will not accept Letters of Interest sent via fax, email or hand delivery. LOI's must be received in the Foundation offices by the due date. The date of the postmark will NOT be considered. In fairness to all applicants, deadlines will be strictly enforced. NOTE: The Foundation hours of business are Monday - Thursday from 10 AM to 4 PM. The offices are accessible only during these hours.
STEP TWO - Proposal and Required Attachments |
If the Letter of Interest is accepted by the Foundation, the requesting organization will then be notified to submit a complete proposal. Grant proposals must be accompanied by the Grant Application Cover Sheet, which can be downloaded here (PDF). A Microsoft Word file of the application is also available by clicking here. Please feel free to use an additional page if there is insufficient space on the form.
A complete proposal narrative (not including attachments) of no more than 6 pages using 12-point font and 1 inch margins. Please number each page and use headings for the items in this outline. The proposal should contain the following:
- A summary of the mission of the organization and programs/services provided in support of that mission
- A statement of need for the program or issue that you plan to address. How was that need determined?
- A detailed description of the proposed program, target population, number to be served and geographic area
- What are the goals and objectives and intended outcomes?
- What are the specific measurable activities/strategies that you plan to implement to accomplish these objectives?
- Criteria and mechanisms that will be used to evaluate whether the program is successful. If you are requesting support for an existing program, please provide performance data from the previous year.
- Factors that may impact the success or failure of the program and how they will be addressed
- Prospects for future funding. List other funders and amounts that may be reviewing this specific proposal. If the Trawick request is partially funded, how would the funds be applied?
- Principal staff assigned to the program and their skills and qualifications. Please indicate if new staff will be hired.
- Description of how volunteers will be used, if applicable
Required Attachments:

- Projected organization operating budget for the year(s) during which the proposed program will be
carried out
- Year-end financial statement for the most recently completed fiscal year, including the most recent audit report
- List of current board members and their affiliations (place of employment and/or relevant community involvement)
- A copy of the current IRS Determination Letter indicating 501(c)(3) status
- Current Form 990
- One page organizational chart
- Most recent Annual Report, if available
Two copies of the project proposal and one copy of the required attachments must be sent by U.S. mail or courier. Please do not send notebooks or binders. The Foundation will not accept proposals sent via fax, email or hand delivery. Proposals must be received in the Foundation office by the due date. The date of the postmark will NOT be considered. In fairness to all applicants, deadlines will be strictly enforced. NOTE: The Foundation business hours are Monday - Thursday from 10 AM to 4 PM. The offices are only accessible during these hours.
Proposals will be reviewed according to the following:
- Priority of the proposed activities within the Foundation's goals
- Impact of the potential results of the activities
- Availability of funds for grant cycle under consideration
A site visit to the office or site of the prospective grantee may be conducted at the discretion of the Foundation Board prior to making a funding decision.
STEP THREE - Grant Agreement Letter |
If the proposal is funded, the Trawick Foundation will require a signed Grant Agreement letter obligating the grantee to provide a six-month interim written report and a final written report within sixty days of the end of the grant. For this final report, grantees will be asked to evaluate the project's accomplishments in light of its original goals. The final report will include an accounting of how the grant funds were used and the organization's financial statement for the period of the grant.
